​Terms, Bookings & Cancellations

These Terms, Bookings & Cancellations apply to all services provided by Sarah Sykes, a sole trader, trading under the names Architecture of Movement and Sarah Sykes Pilates. In these terms, “I”, “me” and “my” refer to Sarah Sykes.

Enrolment and Health Information

If you are interested in joining me for Pilates, please contact me in the first instance.

Before attending your first group class or private session, you must complete an enrolment and health-information form. This gives you space to tell me about any medical conditions, injuries, pain, medication or other information that may affect your Pilates practice.

I must receive the completed form in sufficient time to review it before you first attend. If I need further information, or believe you should seek advice from an appropriate healthcare professional before beginning, I will contact you.

Please let me know if your health, medication, treatment or circumstances change after completing the form so that I can keep your teaching appropriate for you.

Places are limited and subject to availability. When you book a group-class term, you will normally be allocated a place in one agreed class for the duration of that term.

Your booking is personal to you and cannot be transferred to another person without prior agreement.

Payment

Group classes generally run in term blocks of between six and eight weeks. Payment for the full term is required in advance by the stated payment date to confirm your place.

Private sessions should be paid for before attending or on arrival, as agreed.

Current prices are shown on the Timetable & Pricing page or will be confirmed before you book.

Private-Session Cancellations

At least 48 hours’ notice is required if you need to cancel or rearrange a private session.

If you give less than 48 hours’ notice, or do not attend, the full session fee will normally be payable because that appointment has been reserved specifically for you.

If I am able to fill the appointment with another client, the cancellation fee will be waived or any payment already made will be credited to you.

I understand that emergencies sometimes arise. Please contact me as soon as possible, and exceptional circumstances will be considered individually.

Missing a Group Class

If you are unable to attend your usual group class, please let me know as soon as possible.

No refund or financial credit is given for an individual class that you miss. However, you may arrange a catch-up in another suitable class during the same term, subject to availability, or use the weekly class recording.

Catch-up places cannot be guaranteed and must be used within the same term. They cannot be carried forward into a future term.

The weekly recording remains available until two weeks after the end of the relevant term.

Withdrawing from a Term

Booking a term reserves your place for the whole term and is not a pay-as-you-attend arrangement.

Refunds are not normally available for an unused part of a term once it has begun.

If you become unable to continue for the remainder of a term, please contact me as soon as possible. Individual circumstances will be considered, including whether your place can reasonably be offered to another client.

This does not affect your statutory consumer rights.

Workshops and One-Off Experiences

Cancellation, transfer and refund arrangements for workshops and one-off experiences are set individually for each event.

The applicable terms will be clearly stated in the event information and made available before you book. Please check these carefully, as the cancellation deadline and arrangements may vary between events.

If I Cancel or Change a Class or Session

If I have to cancel a private session, you will be offered an alternative appointment or a refund.

If I have to cancel a group class, I will provide an appropriate alternative. This may be a catch-up class, access to a suitable live online or recorded class, or a credit towards a future class or session.

If I am unable to provide a reasonable alternative, a credit or proportionate refund will be offered.

Occasionally, circumstances outside my reasonable control may require a change of venue, time or method of delivery. I will give you as much notice as reasonably possible.

Online Classes

When taking part in a live online class, you must ensure that you have sufficient clear space, a safe surface and suitable equipment, and that you can see and hear me clearly.

Although I may offer verbal guidance based on what I can see on screen, online teaching does not allow the same level of observation or hands-on support as teaching in person.

Please tell me before the class if anything has changed that may affect your ability to exercise that day. Work at a level that is appropriate for you and do not continue with anything that causes pain or feels wrong. Stop if you feel dizzy, unusually short of breath or unwell.

Links to live online classes are provided only to the person booked and must not be shared with or used by anybody else without prior agreement.

Recorded Classes

A recorded class provides no live supervision, personal observation or individual adaptation. Before taking part, you must ensure that you have sufficient clear space, a safe surface and suitable equipment, and that you are fit and well enough to use the recording.

If your health, an injury or your circumstances have changed, or you are unsure whether a recording is suitable for you, please contact me before using it.

Recordings and their access links are provided for your personal use only. They must not be copied, forwarded, distributed or shared with anybody else, including family members or partners. I have not assessed another person’s health, movement history or individual needs and cannot know whether the exercises are suitable for them.

Recordings are set to show me rather than class participants. During a live class, I may address somebody by their first name or, where two participants share a first name, by their first name and surname initial. This may be audible on the recording, as may anything a participant says while unmuted. I will not intentionally include personal health information in a recording.

Please tell me before class if you do not want your name to be used so that we can agree an alternative.

Safe Participation

Pilates and movement teaching do not replace medical advice, diagnosis, treatment or physiotherapy.

Please follow the guidance given, work within a range that is appropriate for you and tell me immediately if something feels painful or wrong.

You are responsible for informing me of anything that may affect your participation. I may adapt, postpone or decline your participation if I do not have sufficient health information or believe that a class, session or exercise is not appropriate for your current needs.

No particular outcome or timescale can be guaranteed, as each person’s health, body and circumstances are different.

Nothing in these terms excludes or limits liability where it would be unlawful to do so.

Privacy

Your personal information, including health information provided through your enrolment form or subsequently, will be collected, stored and used in accordance with my Privacy Policy.

It will be used only where relevant to administering your booking, communicating with you and providing safe, appropriate teaching.

The Privacy Policy explains how your information is handled and your rights in relation to it.

Your Statutory Rights

Nothing in these terms affects your statutory consumer rights. Where the law gives you a right to cancel, receive a refund or require a service to be provided with reasonable care and skill, those rights take priority over these terms.
